Sonoma Earth School ("we," "us," "the School") operates a Parent Portal web application to help families view tuition invoices and make payments. This policy explains what information the Portal collects, how it's used, and how it's protected.
INFORMATION WE COLLECT
When you use the Parent Portal, we may collect:
- Your name and email address (to identify your account)
- Billing and tuition invoice information associated with your student's enrollment
- Payment status and transaction records processed through QuickBooks
We do not collect information directly from students through this Portal. It is intended for use by parents and guardians only.
HOW WE USE YOUR INFORMATION
We use this information solely to:
- Display your family's current tuition invoices and balances
- Process and record tuition payments through our accounting system (Intuit QuickBooks)
- Communicate with you about billing questions, if needed
HOW WE SHARE YOUR INFORMATION
We do not sell or rent your information to anyone. We share information only with:
- Intuit QuickBooks, our accounting and payment processor, solely to process tuition payments and maintain accurate billing records.
We do not share your information with any other third party for marketing or advertising purposes.
DATA SECURITY
We take reasonable measures to protect your information, including relying on QuickBooks' own security and payment-processing safeguards for all financial transactions. No payment card information is stored directly by Sonoma Earth School.
DATA RETENTION
We retain billing and payment records for as long as needed to maintain accurate school financial records and to meet any applicable legal or tax requirements.
YOUR RIGHTS
You may contact us at any time to ask what information we have on file, request a correction, or ask us to delete your account information (subject to our record keeping obligations for billing history).
